Managing Your Meeting Schedule for Events

For participants in our events or partner events that include cap-intro meetings, easily manage your availability and schedule

Meeting Optimization (Global Alts Events Only)

Our platform includes built-in meeting optimization to streamline scheduling during Global Alts. It automatically considers each participant’s availability and confirmed meetings to identify the most suitable time slots for meetings.

Meeting Optimization will typically run a few weeks prior to the start of the conference, giving you the flexibility to reschedule meetings as needed. In the meantime, any confirmed meetings for the event will display as “Confirmed” until optimization runs.

Setting your Availability

To set your availability on web:

  1. From your dashboard, go to the Events tab and select Registered.

  2. Find the relevant event and click View Event.

  3. Navigate to the Availability/Schedule tab.

  4. Toggle time slots to mark them as Available or Blocked.

To set your availability on the Mobile App:

  1. Tap Events from the bottom navigation bar.

  2. Select the relevant event

  3. Tap My Schedule in the carousel

  4. Your availability will be displayed at the top of your schedule

  5. Tap Edit

  6. Toggle time slots to mark them as Available or Blocked

Note: If multiple members of your firm are participating in meetings, changes to availability will apply to all attendees from your firm.

Managing your Meeting Schedule

View Schedule:

To view your meeting schedule on web:

  1. From your Dashboard, navigate to the Events tab and select Registered

  2. Find the relevant event and click View Event

  3. Navigate to the Availability/Schedule tab.

  4. Select the date(s) you would like to view on your schedule.

  5. Your confirmed meetings, including scheduled time and location, will appear in their respective time slots.

To view your meeting schedule on the mobile app:

  1. Tap Events from the bottom navigation bar.

  2. Select the relevant event

  3. Tap My Schedule in the carousel

  4. Select the Event Date from the calendar to view your schedule

  5. Your confirmed meetings, included scheduled time and location will appear on the selected dates schedules.

Note: For Global Alts Events meeting times and location will not be assigned until event Meeting Optimization takes place.

Reschedule Meetings:

To change a meeting time on web:

  1. Navigate to the Meetings tab on your dashboard.

  2. Open the Confirmed folder.

  3. Click View Details for the meeting you want to update.

  4. Select Edit Meeting.

  5. Modify the date/time as needed, then click Next.

  6. Update the memo or description, then click Save Changes.

  7. A request will be sent to the participant and once they’ve confirmed the changes, you’ll receive a confirmation via push notification and email.

To change a meeting time on the app:

  1. Tap on Schedule from the navigation bar

  2. Select the Meetings tab and filter by the necessary event.

  3. Tap View Details on the meeting you’d like to reschedule

  4. Select Reschedule

  5. Select the desired date and time for the meeting

  6. Tap Edit Meeting Request

  7. A request will be sent to the participant and once they’ve confirmed the changes, you’ll receive a confirmation via push notification and email

Cancel Meetings:

To cancel a meeting on the web:

  1. Navigate to the Meetings tab on your dashboard.

  2. Open the Confirmed folder.

  3. Click View Details for the meeting you want to cancel

  4. Select Cancel Meeting.

  5. Include a message with your cancellation within the field

  6. Select Cancel Meeting to confirm

To cancel a meeting on the app:

  1. Tap on Schedule from the navigation bar

  2. Select the Meetings tab and filter by the necessary event.

  3. Tap View Details on the meeting you’d like to cancel

  4. Tap Cancel Meeting

  5. Include a message with your cancellation within the field

  6. Select Cancel Meeting to confirm
